Thank you for downloading the kit. These are the basic tools we would give any fleet owner or driver to get started. They are free to print, share and use in your business.

WHAT IS INSIDE

1 Daily and weekly checks
Daily vehicle check sheet (PDF): one page per vehicle per week.

2 Fuel and maintenance
Vehicle fuel log (Excel and PDF): record every fill and see litres per 100 km.
Preventive maintenance schedule (PDF): service intervals, warning signs and a service log.

3 Costs and renewals
Vehicle running cost calculator (Excel): cost per month and per km for each vehicle.
Fleet renewals tracker (Excel): roadworthy, insurance and driver licence dates in one place.

4 Breakdowns and incidents
Breakdown emergency card (PDF): steps, key numbers and a kit checklist for the glovebox.
Vehicle incident report form (PDF): record the facts after an accident or incident.

5 Choosing software
Fleet software buying checklist (PDF): compare providers fairly.

A FOUR WEEK PLAN TO GET STARTED

Week 1: Print a daily check sheet for every vehicle. Show each driver how to use it.
Week 2: Start a fuel log for each vehicle. Print the maintenance schedule and write down each vehicle's next service.
Week 3: Open the renewals tracker and enter every vehicle and driver. Fill in the running cost calculator with your last twelve months.
Week 4: Fill in a breakdown emergency card and an incident report form for every vehicle, and keep them in the glovebox.
After that: spend fifteen minutes each week looking at the sheets together. Small problems are cheap to fix when you see them early.

GOOD TO KNOW

These tools cover the basics. They depend on people filling them in, and they only show what happened after the fact. When you want alerts, digital inspections and all your records in one place, ask us about Fleet Command Hub: hopelynx.com/fleet-command-hub

We can also help with preventive maintenance plans, on-site servicing, vehicle tracking devices, roadside assistance and towing, and compliance support. Message us any time.

The service intervals and other guidance are general. Follow your vehicle manufacturer's manual, your insurer's instructions and the current requirements of the relevant authorities.
